An alternative to spreadsheets and folders
for AI persona content
The actual incumbent. A sheet, a Notion page, a Discord thread and a folder of PNGs, held together by memory.
Why people go looking
- The sheet and the folder disagree about what has been posted, and only one person can tell which is right.
- Adding a second or third persona doubles the filing rather than the output.
- An assistant has to be told what to post in a DM, and there is no record of whether they did.
- Nothing anywhere records which images were rejected, so the same weak batch gets re-reviewed.
Two different jobs
spreadsheets and folders
Infinitely flexible and free, which is exactly why it wins for a long time. A spreadsheet models anything, needs no migration and never sends an invoice. What it cannot do is enforce anything: it has no idea whether a row is true.
Personifex
The same workflow with the state held in one place. Rating an image moves it, scheduling it puts it on a calendar, assigning it puts it in somebody queue, and marking it posted is what sets the posted flag. Nothing needs to be kept in sync by hand because there is only one copy.
What each one bills
Ours from the same file the checkout uses. Theirs is not listed here, for the reason given below.

Stay where you are if
- You run one persona and post a few times a week. A sheet genuinely is enough, and it is free.
- Your process changes every month. A spreadsheet bends in ways a product will not, and that flexibility is worth more than structure while you are still working out what the process is.
- You need it to do something outside content production. This handles generating, reviewing, scheduling and delegating, and nothing else.
Come over if
- You have more than about three personas and the filing has started to cost more time than the generating.
- Somebody else posts for you and the handoff runs on screenshots and messages.
- You cannot answer "what went out last week, for which persona" without opening three things.
- You are re-reviewing images you already rejected because nothing recorded the decision.
What you give up
The same three things are true whichever tool you are coming from, so they are on every one of these pages rather than only the ones where they are least awkward.
- Personifex does not post for you. It schedules, assigns and tracks, and a person publishes from the phone. Every tool on this page that publishes directly is ahead of us there, and we say so rather than leave you to find out.
- There is no importer. Nothing you have elsewhere moves across automatically, so a switch means starting the next batch here rather than migrating the last one.
- There is no free trial. The closest thing on offer is a 14-day money-back guarantee on your first payment, and plans are self-serve and cancel in one click.
Common questions
What is wrong with a spreadsheet?
Nothing, until there are several personas and more than one person. A sheet stores what you type and cannot check any of it, so every column is a promise you have to keep by hand. That works fine at one persona and breaks quietly at four, usually as a post that never went out or a persona that goes dark for a fortnight.
Can I import my existing sheet?
No. There is no importer of any kind. The realistic switch is to start the next batch here and leave the history where it is, which is less painful than it sounds because the history is mostly a record of what was already posted.
Do I still need Notion?
Probably, and we would not try to talk you out of it. This replaces the content-tracking part, not notes, briefs or anything else you keep there.
NoteThere are no customer quotes on this page because there are no customers to quote yet. Everything above is either checked against our own code or read from the other tool's own pages on the date shown.
